How to sign up and how to use EMSy during a race

What you need to know before your shift starts. Every screen below is the one you will actually see on your phone.

1

Clock in

Before anything else: open Shift Clock, pick the station you are assigned to and press START SHIFT. At the end press END SHIFT from the same screen. Times are recorded by the system and cannot be edited: if something is wrong, ask the operations centre to correct it.

Record a clinical case

It is the green button at the top of the event screen. The record is filled in four steps — identification and triage, assessment, treatment, outcome — with the progress bar always in view. If triage comes out as a low-complexity green code the record switches to the fast track and drops to three steps, skipping the extended assessment. You can go back with the Back button without losing what you have already written.

Find an athlete

Search by bib number or by name in the start list uploaded by the organisation. It fills the record in seconds with data that is already correct, and shows you whether that athlete has already been seen at another station.

My interventions

This lists only the records you created. The number on the button counts the patients you left under observation — the records still open. Open one to add vital signs or treatments, or to close it when the athlete resumes the race or is evacuated.

Radio

The event's medical radio channel, on your phone. Press and hold to talk, release to listen. It works wherever there is mobile data: it does not replace your service radio where the signal does not reach.

When there is no signal

Fill the record in anyway. If you save with no connection the record goes into a local queue and is sent on its own as soon as the phone finds signal again. In the app the queue survives closing and reopening; in a browser it is tied to the session, so do not close the browser tab before the record has synced.

7

Your account

The icon at the top right opens your profile: personal details, password change, sign out and account deletion. Deletion covers your operator account, not the clinical records you signed — those stay in the event's files, as health data retention rules require.

If something does not add up

The bib number I need is not there

The start list is uploaded by the organisation and can be incomplete or change up to the start. Record the case anyway, entering the details by hand: never leave an intervention undocumented because of a missing bib.

I saved a record with wrong information

A closed record cannot be rewritten: it is a health document and every change has to stay traceable. Ask the operations centre or the medical direction for a correction, which they file as a signed amendment.

A feature I have on the computer is missing from the app

Nothing is broken. In the app everyone gets field-responder capabilities whatever their role: the map, team management and the rest of the operations centre are used from a computer.
